Scope
Rockwell Automation takes the privacy and protection of your personal data seriously. With this Privacy Statement Rockwell Automation wishes to explain to you how it collects, uses, shares and protects personal data that you may provide through its recruitment systems and/or that it may otherwise collect during its selection and recruitment processes. We encourage you to read this Privacy Statement before submitting information.
The term “Rockwell Automation” or “the Company” as used in this Privacy Statement refers to Rockwell Automation, Inc. and its subsidiaries and divisions that you interact with and that use the global, regional and/or local recruitment systems operated by or on behalf of Rockwell Automation.
If you are a California resident, you may have additional privacy rights. Please see the section “Supplemental California Talent Acquisition Privacy Notice” at the end of this Privacy Statement.
Personal Data Collection
Rockwell Automation uses a number of selection and recruitment systems to communicate job opportunities that become available within Rockwell Automation and to receive and process job seekers’ inquiries and job applications. You are free to use the systems to explore and apply for such opportunities. For this purpose, the systems facilitate the submission of your contact details and your personal data normally required in order to evaluate your suitability for a job, such as your interests, your curriculum vitae and details of your educational qualifications, experiences and skills.
Rockwell Automation may also receive such personal data from talent acquisition and recruitment service providers. It may also collect personal data about you from industry and career networking events and platforms and/or from professional networking sites.
During its selection and recruitment process, Rockwell Automation will collect additional information about you, such as through interviews, reference checking, and/or possible skills and behavioral assessments.
Rockwell Automation runs a Referral Program whereby our employees are encouraged to propose possible candidates for open jobs. As part of this Referral Program, personal data about you will be provided to Rockwell Automation. Our employees are encouraged to obtain your prior consent for such referrals.
The Company is committed to the reliability and competence of its employees. Therefore, in the final phase of the recruitment process a third party may be engaged to perform a pre-employment screening (background check). You will be informed about the scope, and will be requested to provide specific permission to complete these background check activities. For executive or technical positions, Rockwell Automation or third parties engaged by Rockwell Automation may run additional checks and verifications related to your skills and qualifications, as well as behavioral assessments.
Personal data collected and processed during the selection and recruitment process may vary by country and the nature of the role for which you are being considered. For example, the Company may ask USA and Canada residents to complete a virtual, self-scheduled video interview session and to submit the recording to Rockwell Automation. You may also be invited to use AI assistants and chat bots for automated back-and-forth interview scheduling and communication.
In general, you are free to submit any or all of the requested information. However, when you register on one or more of the systems, you may need to complete required fields pertaining to your name, contact information, and employment and/or educational history, as well as to choose a username and password. Some fields are required, and some are optional. The fields that require you to complete information requested are denoted with a star. If you choose to withhold any personal data for required fields, it may not be possible for you to gain access to certain parts of the systems and/or to apply for job opportunities.
Use of Personal Data and Legal Basis
Rockwell Automation uses your personal data to evaluate your suitability for one or more jobs, to identify the most suitable candidates for these jobs, to consider alternative job opportunities for you and for related purposes up to and including making job offers.
The legal basis for collecting and processing your personal data are:
- Rockwell Automation legitimate business interests to find the right job seekers for its job offers, to select the best, suitable candidates and to demonstrate that proper recruitment processes are followed (for example in the event of a complaint; for example, to monitor equal opportunity policies),
- Your consent, and,
- Where applicable, requirements to comply with reporting and other legal obligations.
Rockwell Automation will not use your personal data for decision-making based solely on automated processing, if the decision produces legal effects concerning you or significantly affects you, unless you give your explicit, prior consent. When Rockwell Automation applies automated decision-making with your consent, you can request an explanation about the automated decision-making using your personal information and you can request that a natural person reviews the decision where it was exclusively based on automated processing.
Processing of Sensitive Personal Data
On an exceptional basis, Rockwell Automation may request certain sensitive personal data, such as gender, race, ethnicity, nationality, and citizenship as well as medical data. It is optional for job candidates to provide this information, unless and to the extent that the collection and processing of such sensitive personal data is required by law or generally accepted standards and practices or is necessary for Rockwell Automation to comply with its obligations or to exercise certain rights in the field of employment and social security. For example, the Company may need information to verify that you are permitted to work in a certain country. For example, you may be required to undergo a pre-employment medical assessment where it is a legal obligation or a standard practice for important safety reasons. Your sensitive personal data will only be used for these strictly defined purposes.
Where your consent is required for the processing of your sensitive personal data, by accepting this Privacy Statement and providing sensitive personal data to Rockwell Automation you are providing explicit consent to the processing of your sensitive personal data for the fulfillment of your requests and for those strictly defined purposes.
Data Access and Disclosure
Your personal data will only be shared with authorized Rockwell Automation staff, as is relevant for the evaluation of your interest and application for the role(s) you are being considered for.
Rockwell Automation may share your personal data with certain third parties, such as talent acquisition and recruitment service providers, employment screening and background check agencies, and/or technology service providers, some of which provide systems’ software as a service in a third-party cloud environment. Rockwell Automation has a program in place to evaluate such third parties against its information security and privacy expectations and to ensure they sign required agreements including confidentiality and required data protection obligations.
In addition, Rockwell Automation may disclose your personal data to governmental authorities, law enforcement agencies and/or other third parties, where it is required to do so in order to comply with its legal obligation, to defend its legal rights, or as permitted by law.
Rockwell Automation does not use your personal data for unsolicited purposes and will not sell your personal data to third parties without your prior consent.
Retention
Unless you may be hired by Rockwell Automation, your personal data is retained for a period of 1 year and 2 months (for applicants outside of the United States) or 6 years (for applicants in the United States) after the end of the selection/recruitment process, or for such longer period time as is required by law or needed for legitimate business purposes of Rockwell Automation. Your personal data may also be retained for a longer period, subject to your consent, for example to allow Rockwell Automation to inform you about future job opportunities.
You have the right to request the removal of your personal data from our systems prior to the end of the retention period listed above. You can exercise this right by contacting Rockwell Automation administration team at privacy@ra.rockwell.com.
If you’re hired, some of your personal data collected and generated throughout the selection and recruitment process will transfer into Rockwell Automation’s hiring and onboarding systems and processes, which are subject to Rockwell Automation’s internal Privacy Policy applicable to its employees.
Cookies
A cookie is a small text file that is downloaded to your computer’s hard drive or stored in your web browser’s memory when you visit Rockwell Automation websites and systems. Cookies are used to facilitate site navigation and performance of the web recruitment systems. Most browsers accept cookies automatically; where required, prior consent to different types of cookies is requested. If you are concerned about cookies, you can modify your web browser settings. In most cases, a visitor may refuse a cookie and still navigate Rockwell Automation websites.
Data Transfer Abroad
Your personal data may be accessible to or transferred throughout Rockwell Automation, including in the USA. Rockwell Automation’s global headquarters in the US and its affiliated companies in EU/EEA/UK/Switzerland/China comply with the applicable privacy laws governing cross-border data transfer of personal data through intercompany agreements containing the relevant, officially approved, so-called Standard Contractual Clauses. Where required in other countries, Rockwell Automation will apply similar contractual protection clauses.
Where your consent is required, by accepting this Privacy Statement and providing personal data to Rockwell Automation you are providing explicit consent to the cross-border transmission of your personal data collected for the fulfillment of your requests and for the above-mentioned legitimate purposes.
Data Security and Confidentiality
Your personal data is kept secure utilizing physical, organizational and technological security measures, including but not limited to, protected network connection, role and permission discovery and audit, limited system access, and approval process controls. Rockwell Automation strives to protect such information from loss, misuse, unauthorized access, disclosure, alteration, or destruction. Further information can be found on the Trust Center provided on the Rockwell Automation website.
Data Access, Correction and Deletion
You have the right to access your personal data, and to have your personal data deleted, corrected or revised.
You can personally update and correct the data you have submitted in the systems using your username and password. Regarding your personal data otherwise collected by Rockwell Automation, you can contact the human resources person(s) of Rockwell Automation you interact with or its administration team at privacy@ra.rockwell.com. For security reasons, the systems may require you to provide proper additional identity verification information in order to avoid any communication of confidential information concerning you to a person other than you.
Rockwell Automation will honor data access, correction, revision and/or deletion requests, but these rights are not absolute. Exemptions may be engaged pursuant to your current relationship with Rockwell Automation and/or to applicable legal obligations. An explanation will be provided to you, even if we do not accept your request. Rockwell Automation will not discriminate against an individual because the individual exercised any of the above rights.
Third Party Systems and Websites
You also may choose to provide us with access to your personal data maintained by job search websites or other digital services not operated by Rockwell Automation. The personal data we may receive from these services varies by site and is controlled by the operator, its privacy policies and your applicable privacy settings. If you access services of third-party vendors and providers authorized by Rockwell Automation, these third parties may collect information about you, including information about your activity on their systems or websites, in accordance with their own privacy policies. Rockwell Automation encourages you to review the privacy policies and notices published by them.
This Privacy Statement covers only the selection and recruitment systems operated by or on behalf of Rockwell Automation. Links from the systems may take you to sites operated by third parties who are not within Rockwell Automation’s control and are not covered by this Privacy Statement. If you utilize a link, you are advised to check the applicable privacy practices of the new site. Rockwell Automation does not accept any responsibility or liability for the practices of those other web sites.

By participating in the selection and recruitment processes and/or by using Rockwell Automation’s selection and recruitment systems, you agree with the terms of this Privacy Statement.

Supplemental California Talent Acquisition Privacy Notice (“CA Supplement”)

Rockwell Automation recognizes that candidates who are California residents may have additional rights available to them, as set forth below. Capitalized terms not defined in this CA Supplement have the meaning given to them under (i) Talent Acquisition Privacy Statement (“Privacy Statement”), or (ii) California Consumer Privacy Act 2018 (as amended by the California Privacy Rights Act) (the “CCPA”). This CA Supplement is in addition to the rights and obligations in the Privacy Statement. In the event of a conflict between this CA Supplement and the Privacy Statement, this CA Supplement will prevail.
1. Personal Information Collection. In the 12 months prior to the last update of this CA Supplement (“Prior 12 Months”), Rockwell Automation collected the following categories of Personal Information from you (collectively “Collected Personal Information”):
a. Identifiers: Name, username, physical address, email address, phone number, IP address, passport number.
b. Characteristics of Protected Classifications: Gender, race, ethnicity, nationality, and citizenship as well as medical data.
c. Audio, Video, and other Electronic Data: Audio, electronic, visual, or similar information such as, CCTV footage from Rockwell Automation facilities, photographs, and audio and/or video recordings (e.g., virtual self-scheduled video interview sessions).
d. Professional and Employment Related Information: Information regarding your jobs, employment history and previous work experience, job title and functions, job performance, licenses and certifications and information regarding military service.
e. Education information: Schools attended, educational background, prior employment history, reference/referral information, professional licenses, and certifications.
f. Sensitive Personal Information: Social Security Number, medical data, self-identified demographics (race, ethnicity), gender, nationality, citizen status. Rockwell Automation will not use Sensitive Personal Information for any purpose other than is reasonably anticipated to accomplish the business purpose for which it is collected.
g. Internet or other Electronic Information: Subject to any rights to otherwise limit such collection as set forth in an applicable privacy policy, internet or other electronic network activity information related to an applicant’s use of any Rockwell Automation applications, websites, networks, communication system, or other information resource, including, but not limited to information regarding your interactions with our websites, applications, or advertisements.
h. Geolocation: Precise geographic location information about you or your device used to access a Rockwell Automation network, application, or other information resource or restricted facility, such as for an interview or screening.
i. Inferences. Inferences drawn from the above to create a candidate profile.
2. Use of the Personal Information and Purposes.
a. Sources. Rockwell Automation may collect the Collected Personal Information from you, your prior employers, your references, your interactions with Rockwell Automation, and third-party recruiting and talent acquisition services providers contracted by Rockwell Automation.
b. Purposes. Rockwell Automation collects the Collected Personal Information for the business purposes described in the "Use of Personal Data and Legal Basis" section of the Privacy Statement. Sensitive Personal Information is only collected for the purposes of your potential employment with Rockwell Automation and for no other purpose.
c. Data Access and Disclosure. As described in the "Data Access and Disclosure" section of the Privacy Statement, Rockwell Automation may disclose your Personal Information to third parties. For the purpose of this California supplement, in the Prior 12 Months, Rockwell Automation has disclosed Collected Personal Information to the following categories of third parties for the reflected business purposes:
i. Rockwell Automation personnel for the evaluation of your interest and application for the role(s) you are being considered for.
ii. Rockwell Automation affiliates and consultants to support our Talent Acquisition functions.
iii. Third party service providers under contract with Rockwell Automation for the provision of services in relation to recruitment, employment, and suitability screening processes as well as those that support our Human Resources functions.
In addition, and subject to applicable law, Rockwell Automation may disclose certain Personal Information to governmental authorities, law enforcement agencies and otherwise to comply with applicable law, to cooperate with law enforcement, to exercise or defend its legal rights, or in emergency situations where the health or safety of you or another individual may be endangered.
d. Sale or Sharing of Personal Information. Except for the Personal Information disclosed in accordance with section 2c. above, in the Prior 12 Months Rockwell Automation has not sold or shared (as defined in the CCPA) Personal Information with any third party. In addition, Rockwell Automation does not and does not have any knowledge of selling or sharing Personal Information of any individual under the age of 16.
e. Retention. Subject to applicable law, Rockwell Automation will retain your Personal Information for as long as needed considering the purpose(s) for which it was collected and in accordance with Rockwell Automation’s data retention policy. When determining retention periods Rockwell Automation considers:
i. The length of time it has a continuing relationship with you;
ii. Whether there is a legal obligation to which it is subject (for example, certain laws require that records of your transactions or communications are retained fora certain period of time before the information can be deleted); or
iii. Whether retention is advisable considering our legal position (such as regarding applicable statutes of limitations, litigation, or regulatory investigations).
3. Your Rights and Choices.
a. CCPA provides you specific rights regarding your Personal Information. This section describes your CCPA rights and explains how to exercise those rights, subject to certain exceptions as set forth in the CCPA.
a. Request to Delete: You have the right to request deletion of any of your Collected Personal Information retained by Rockwell Automation and to have such Collected Personal Information deleted.
b. Request to Access: You have the right to access, and receive a copy of, the specific pieces of Collected Personal Information and to have this delivered, free of charge, either (a) by mail or (b) electronically in a portable and, to the extent technically feasible, in a readily useable format that allows an individual to transmit this information to another entity without hindrance.
c. Right to Know: You also have the right to request that Rockwell Automation provides you certain information about how your Personal Information is Processed (as applicable), including:
· Categories of Personal Information collected;
· Categories of sources of Personal Information;
· Business and/or commercial purposes for collecting, selling, or sharing Personal Information.
· Categories of third parties with whom Rockwell Automation has disclosed or shared your Personal Information.
· Categories of Personal Information that Rockwell Automation has disclosed or shared with a third party for a business purpose; and
· Categories of third parties to whom your Personal Information has been sold and the specific categories of Personal Information sold to each category of third party.
You may only submit a request to know twice within a 12-month period.
d. Right to Correction: The right to request that Rockwell Automation corrects your Personal Information that is inaccurate.
e. Right to No Discrimination or Retaliation: You have the right to not receive discriminatory treatment or retaliation if you elect to exercise the above rights.
b. Exercising Your Rights. To exercise your rights under CCPA you or your authorized representative may exercise your rights by sending an e-mail to: privacy@rockwellautomation.com, alternatively, you may call: 414-382-2000
When submitting your request, you must provide sufficient information to allow Rockwell Automation to (i) reasonably verify you are the person about whom Rockwell Automation collected Personal Information or that you are an authorized representative, and (ii) properly understand, evaluate, and respond to your request. Rockwell Automation cannot respond to a request or provide Personal Information if it cannot verify your identity or authority to make the request and confirm that the Personal Information relates to you.
Where a request is submitted on your behalf, Rockwell Automation will require proof of your written authorization to the agent to act on your behalf, unless the agent holds a lawful Power of Attorney under applicable law, in which case Rockwell Automation will require evidence of such Power of Attorney.
Rockwell Automation will only use Personal Information provided in the request to verify the requestor’s identity or authority to make the request.
Rockwell Automation may deny a request as permitted or as may be required under applicable law.
c. Rockwell Automation Response. Rockwell Automation will confirm receipt of your request and will endeavor to substantively respond to a verifiable request within as called for under the CCPA.
Rockwell Automation does not charge a fee to process or respond to a verifiable request unless the request is excessive, repetitive, or manifestly unfounded. If Rockwell Automation reasonably determines that the request warrants a fee, it will tell you why that decision was made and provide you or your authorized agent (as applicable) with a cost estimate before completing the request.
Any disclosures provided by Rockwell Automation in response to a request will only cover the 12-month period preceding the date Rockwell Automation receives a verifiable request.
